Paperclip

Paperclip

Occasionally you may receive documents from suppliers that you want to store in Lightyear, but as they aren't a bill or a statement, you can't map and file them away as you normally would. Perhaps a delivery note or an order confirmation, as an example. Our Paperclip functionality allows you to attach documents to bills within Lightyear for safekeeping. Wherever the bill goes, any attachments go too.

Currently there is no limit to the number of documents that can be attached to a bill, but each individual document needs to be less than 10mb in size.

Attaching a document to a Bill

This can be done in the Processing, Approvals, Review and Disputed tabs. You'll notice a new paperclip icon in the top right corner of panel 2

Click this, and you'll be able to add a new attachment. A green confirmation will appear when the attachment has been added.

You can repeat this process to add more attachments, or click the red X to remove an attachment.

Viewing attached documents

Attached documents can be viewed from any tab in Lightyear, including the Archive. To view any attached documents, just click on the paperclip icon when viewing the bill. This will open the attachment in a new browser window, allowing you to view the bill and any attached documents side by side if needed.

Please note that Paperclip is currently not compatible with grouping or splitting bills. If you need to use Paperclip to attach a document to a bill, make sure you do it after any required grouping/splitting
