In our biggest release since the launch of Smart Extract+ we have made further enhancements to extract the data you need from documents.
Our Bank Details extraction can extract Sort Codes/BSBs, Account Numbers, Account Names, IBAN, BIC and even BPAY Ref and Biller Codes from Australian Suppliers.

Footer Fields encapsulates everything from Freight to Miscellaneous charges to Discounts. These can be extracted from documents and added to the line items in the same way you're familiar with in the Mapping process.

We will now detect when we think a document is a Statement based on a set list of words/phrases, which will then un-Smart Extract the document as we cannot reliably extract from Statements at this point in time.

Splitting and Merging Documents
Previously documents that had been Smart Extracted would revert to Manual Entry and break when Split or Merged with other documents. This has been resolved to allow Splitting/Merging to function as expected.
Defaulting to Manual Entry
There were two scenarios when a document would revert to Manual Entry
- Inactive Supplier
- Issue: we would extract a Supplier Name that would match to a Supplier that had been previously deleted/made inactive
- Fix: we will only match to active Suppliers
- Extracted Field Too Long
- Issue: an extracted piece of information was too long to fit within our character limit
- Fix: we will omit any details that are too long to fit within our current fields
If Auto Smart Extract was set to Yes, and Default Extraction Type set to anything other than Summary within Company Settings, this was being reset when Tax Rates were Imported/Saved within Accountancy > Tax Rates.
Extracted Data and Calculations
We have made some enhancements to how we extract and calculate Tax Rates against Line Items to make it more accurate.
Miscellaneous
- Product List
- Issue: when using Line extraction, the Product List was populating twice against the Supplier and in some cases causing Product Rules to not apply to documents
- Fix: the Product List will only populate once as expected and apply any Product Rules set up
- Keyword Rules
- Issue: Panel 1 was not displaying the name of the Keyword Rule applied to the document
- Fix: Panel 1 will now display the name
- Expenses - Merchant Name
- Issue: for Expenses uploaded to Lightyear, some documents were omitting the Merchant Name from extraction
- Fix: Merchant Name will extract more reliably when it exists on a document
- Default Extraction Method
- Issue: if a Supplier had a different Default Extraction Method set up, the Company level method was being used
- Fix: the Supplier method will take presidence

Bug Fix: Tagging in My Tasks
We fixed an issue where users with the Permission Task Approver or Task Approver & Archive can once again use @ to tag users in Notes within Lightyear.
10th April
When Auto Smart Extract is enabled, if you upload a document to trigger via this method (e.g. searches for a map and then goes to Smart Extract) the Smart Extract+ icon in Panel 1 and 2 will now display is no map is found. Previously this wouldn't appear until the document had successfully Smart Extracted.

Accountancy Software: Sage Accounting - Export Goods/Services
Accounts using Sage Accounting/Business Cloud will see an additional setting in Accountancy Software Settings for Sync Goods/Services to, which allows Suppliers in Non-EU countries to be exported from Lightyear and apply Goods or Services to the line items.

Bug Fixes
Accountancy Software: Sage 200 - Rounding Issues
- Fixes an issue on Sage 200 where some exported document values were inconsistent between Lightyear and the CSV.
Inventory - Delete Supplier Cards
- Fixes an issue where the Delete All button in Inventory > Supplier Cards was deleting Accountancy Software Supplier Cards.
Manager Approval
- Fixes an issue where a user with Not Required as their Manager was not able to receive an Approval Task.
- Fixes an issue where reassigning an Approval Task to a user wasn't checking if they has a Manager assigned.
Purchase Orders
- Fixes an issue where users with PO - Order only could edit Draft POs. They will still see these POs, but will not be able to edit them.
- Fixes an issue where POs could be created using Copy PO after the Supplier was set to PO Supplier = No.
- Fixes an issue where Posting Date was visible in Create PO for some Accountancy Softwares.
Users
- Fixes an issue in Users where the Search in top right wasn't returning any results.
Statements
- Fixes a visual issue where Statements with a lot of lines were becoming misaligned as users scrolled down the lines.

Bug Fix: Mobile App - Tagging Users
We have fixed a bug on our mobile app where using the @ symbol wasn't allowing users to tag other users in their notes.

Accountancy Software: Sage 200 - Posting Date
Users can now enable a Posting Date field within Sage 200 which will export into the PostedDate field in Column K.
